The following statement covers policies and procedures for renting party and special event items from Expert Rental.
For All Orders
-Pricing on most party items, unless otherwise specified, is by the weekend event NOT by the day. Please keep this in mind when comparing pricing. We do offer different or longer term rentals, please ask for pricing.
-Reservations are recommended on all items to ensure availability.
-Some estimates/orders require a deposit to book and hold. Carefully read your entire estimate. These deposits are non-refundable, and these orders are not confirmed without deposit receipt. ALL tented orders require a deposit.
-Cash, check and credit/debit cards are accepted, please ask for exact detail on payment terms and policies. Certain items require a credit card, and are subject to more stringent payment standards.
-Security, and or cleaning may be required.
-For individuals with addresses from out-of-our-trading-area displayed on their identification, payment by credit card is mandatory.
-A valid drivers license or state DMV issued ID card is required for all rentals.
-All identification and forms of payment must be in the name of the person either picking the items up, or physically present for payment.
-3rd party checks, or credit cards are strictly prohibited.
-No refund will be issued on unused rental items.
Glasses
-Must be rinsed clean & returned upside down into racks or a 10¢ additional charge per glass will be imposed on ALL glasses rented.
Plates
-Must be rinsed clean of all food (not just scraped) and returned to crates or a 25¢ per item additional cleaning charge will be imposed on ALL plates rented.
Flatware
-Must be rinsed clean or a 10¢ per piece will be imposed on ALL utensils rented.
—Glasses, Plates, and Flatware policies are set in accordance with CT Health Code 19-13-B42. regarding pre-sanitization storage of items —
Linens
-Linens must be shaken food and debris free (flowers/food/decor, etc.). DO NOT store soiled linens wet in closed plastic bags. You will be charged replacement cost for any burned, wax covered, missing and/or damaged cloths. Please note that any special order cloths must be prepaid and the order cannot be changed after the date indicated on your contract to allow for transit time.
Chairs and Tables
-Tables and chairs must be kept dry at all times, including during transportation. There is a 50% surcharge on all items if they are returned wet or unbagged. To protect the chairs and ease your loading, Our Samsonite folding chairs are designed to be interlocked and stacked with the top of seat facing down. White Party and Fruitwood Chairs must be returned to their bags for transit or pick up. Please return them to the bag top first, feet out.
Grills, Serving, or Cooking items
-Cooking equipment must be returned clean (wiped, scraped, and/or brushed free of food, grease, and oil) as received. There will be no refunds of cleaning deposits for any cooking items not returned in this manner.
Do It Yourself Tents
-Please read the supplement sheet provided with your rental which outlines your responsibility with this rental. A $60 security deposit is taken on all orders, which will be returned if those policies are met. Note that cooking is not allowed underneath or within 50′ of tenting. No items may be hung from or placed on the tent. Dyes from many paper items,
decorations, or even flowers can stain the material that the canvas is made out of. Tents must be returned dry, clean, in the bags, and with all the parts and by the time noted on your contract for the return of your deposit. No open flames, camp fires, bonfires, or fireworks are allowed within 500′ of the tent site per state regulation. You are responsible for any damage to items that may occur.
For Picked Up Party Orders
-Weekend orders can be picked up anytime Friday and onward during store hours, earlier pickup MAY be able to be arranged upon request.
-Returns can only be made during store hours and are due back to Expert Rental by 4:00pm on Monday unless otherwise pre-approved. We are open at 7:30am on Monday for early returns and DO NOT accept returns after 11AM on Sunday. Please be prepared to spend a few moments on return while we count your order in.
Please remember when you come:
-Notifying us in advance (at least an hour) of your arrival time will help expedite your pickup process and time.
-You are responsible to bring adequate labor to load during pickup and unload your order upon return.
-Bring appropriate rope or straps to tie down your load. You are responsible for securing your load. Remember bungee type cord/straps generally do not work well for properly securing heavy items.
-Enclosed vehicle transportation is required on some rental items, both on pickup AND return. This restriction applies to Pickups on Fruitwood & White party chairs, as well as any of our rustic tables or bars.
-Rental items cannot be loaded in inclement weather un protected. You must provide covered transportation (IE. proper tarps, enclosed vehicle, truck with bed cover) when picking up AND returning items under any inclement weather conditions (i.e. rain, snow, sleet, etc.) We may be able to allow early pickup or later return durring these time with prior agreement. Additional charges will apply for the return of wet tables and chairs.
-Be conscious of your vehicle size regarding what and how much you are picking up and how much you may already have inside the vehicle (groceries, passengers, etc.). If you have a question about how much room might be required for your order, please ask.
For Delivered Party Orders
-Delivery may be available at additional cost with your order. All delivered orders must be prepaid. we cannot deliver orders with DIY tenting.
-Our standard delivery price is based on tail-gate delivery and pickup. You agree to let us drive on your lawn, and hold us harmless for any surface or sub-surface property damage. If we can not easily and safely drive to the location or do not have permission to do so, there will be an additional charge of $65 per man hour for labor to carry rental goods.
-All orders must be delivered to and picked up from a permanent covered location or an Expert Rental installed tent. Examples of a permanent covered location are a garage, barn, shed, or pavilion. We can not deliver or pickup items to the inside of a residence or to a tent erected by another agent/contractor.
-Weekend events will normally be delivered on Wednesday, Thursday or Friday, and generally picked up on Monday or Tuesday, based on our routing schedule. Please make sure your area is ready for a potential 8:00am Wednesday delivery. Dates listed on the estimate for delivery and pickup are approximate – we will contact you early in the week to let you know the delivery and pickup date and approximate times. We can try to accommodate special requests for specific delivery or pickup times but this will be charged at red label rates, and minimum of 2 week advance notice is required.
-Please count all items carefully on delivery. You agree to pay replacement cost for any shortages, cleaning or damage of rental goods. A security deposit is held on your order to cover minor shortages or unanticipated labor. This may not cover your full liability in the case of excessive damage or unanticipated labor, abuse, misuse or negligence. Many rental items include directions for their proper & safe use – please read them carefully.
-On site labor for setup and take down of items may be available on request at an additional cost with advance notice.
-All rental goods must be left in the same location as dropped off for our pick up crew. Please do not stack items on the outer edge of tenting, or outside the tent where they might be exposed to weather. It is your responsibility to keep all items dry and safe.
-ALL ITEMS MUST BE READY FOR PICK UP AS SCHEDULED TO AVOID LABOR CHARGES OF $65 PER HOUR. Pick up’s begin at 8:00 AM Monday unless otherwise arranged. All Clean up must be done by this time.
Tented Orders
-Delivery locations should be prearranged. For deliveries that include installed or setup items please have layout predetermined and plan to be on-site for setup and any last minute decisions. If you are not present, Expert Rental will not be held responsible for any decisions made in your absence. Any changes made after delivery / installation will be accommodated if scheduling time allows at additional cost. You agree to pay for changes made to the order after delivery or installation.
-Cooking is not allowed underneath or within 50′ of our Party/Event grade tenting. Smoke and smells can get on and penetrate tenting canvas we have specific tents designated for these purposes, Cook or kitchen tenting is available upon request.
-No open flames, camp fires, bonfires, or fireworks are allowed within 500′ of the tent site.
-Nothing, including lighting, may come in contact with the tent canvas to prevent damage.
-You are responsible for any damage that may occur to or additional cleaning needed of tenting.
-It is the customer’s responsibility to advise Expert Rental of any underground utilities or structures prior to tent delivery / installation. We are not responsible for any underground utilities, sprinkler systems, pipes, septic systems, electrical, etc.
-Tents are considered temporary structures, Expert Rental is not responsible for any act of God or other unforeseen complication to include high wind, water or soil conditions, weather related delays, fallen trees or other conditions which make tent installation or tent use unsafe. In the case of severe conditions, Expert Rental reserves the right to take down or not deliver rental items if the situation is deemed unsafe, the renter should have alternative plans to cover this unlikely possibility.
-If needed, tent building permits are the responsibility of the renter unless otherwise arranged.
